How to Enable User Authentication on the Machine

Guide on how to enable the user authentication settings on the machine.


When to use User Authentication:

User Authentication is the only feature that will allow the use of the biometric scanner or card reader to authenticate. User Authentication can also be used on Color devices when clients only wish to manage color copying and printing, but allow black & white copying and printing without tracking the number of prints, and requiring authentication only to copy or print in color (Public User mode).


Via Machine Web Connection (For The Older Machine Series / Non I-Series Machine):

STEP 1: Access the machine Web Connection. Click this LINK to check on how to access the machine Web Connection.

STEP 2: Access the machine Web Connection from the PC browser. Click this LINK on how to access Web Connection from the browser.

STEP 3: Logout from public then login as Administrator and go to [User Auth/Account Track] > [Authentication Method] > Set the User Authentication to [ON (MFP)].

STEP 4: Set the [Public User Access] to the following:

  1. [ON (With Login)]: Allows that public users to use this machine. When a public user uses this machine, press [Public User] on the Login screen to log in to this machine.
  2. [ON (Without Login)]: A public user can use this machine without logging in to this machine. Using this option, you do not need to log in to this machine even when there are many public users.
  3. [Restrict]: Restricts public users from using this machine.

STEP 5: Click OK to save

STEP 6: Register a Username and Password, on the machine Administrator mode go to [User Auth/Account Track] > [User Authentication Settings] > [User Registration] > then click [New Registration] to register a new user.

STEP 7: Enter the User Name and User Password for the new user. Change the Function Permission and Allowance Set accordingly if needed. Then click [OK] to save.

STEP 8: Once registered, users should be able to use the username and password to access the machine. Please refer to this LINK on how to update the username and password on the printer driver for Windows OS or this LINK for MAC OS.

Public User Access

If Public User Access is set to ON, you can set the username/password and control the function permission by going to Administrator mode of the machine go to [User Auth/Account Track] > [User Authentication Settings] > then select [Public User].

 


Via Machine Web Connection (For The Newer Machine Series / I-Series Machine):

STEP 1: Access the machine Web Connection. Click this LINK to check on how to access the machine Web Connection.

STEP 2: Access the machine Web Connection from the PC browser. Click this LINK on how to access Web Connection from the browser.

STEP 3: Logout from public then login as Administrator and go to [User Auth/Account Track] > [Authentication Method] > Set the User Authentication to [ON (MFP)].

On User Authentication

STEP 4: Set the [Public User Access] to the following:

  1. [ON (With Login)]: Allows that public users to use this machine. When a public user uses this machine, press [Public User] on the Login screen to log in to this machine.
  2. [ON (Without Login)]: A public user can use this machine without logging in to this machine. Using this option, you do not need to log in to this machine even when there are many public users.
  3. [Restrict]: Restricts public users from using this machine.

STEP 5: Click OK to save

STEP 6: Register a Username and Password, on the machine Administrator mode go to [User Auth/Account Track] > [User Authentication Settings] > [User Registration] > then click [New Registration] to register a new user.

STEP 7: Enter the User Name and User Password for the new user. Change the Function Permission and Allowance Set accordingly if needed. Then click [OK] to save.

STEP 8: Once registered, users should be able to use the username and password to access the machine. Please refer to this LINK on how to update the username and password on the printer driver for Windows OS or this LINK for MAC OS.

Public User Access

If Public User Access is set to ON, you can set the username/password and control the function permission by going to Administrator mode of the machine go to [User Auth/Account Track] > [User Authentication Settings] > then select [Public User].

Via Machine Control Panel:

STEP 1: On the machine Control Panel, click [Menu] > [Utility] > [Administrator Settings] > [User Authentication/Account Track] > [General Settings] or [Authentication Type] > and change the User Authentication to [Authenticate] then select [ON (MFP)]. 

STEP 2: (Optional) If you are using Public User Access, change the [Restrict] to either [ON (With Login)] or [ON (Without Login)].

STEP 3: Click [OK] to Save the settings. A message will prompt "Are you sure you want to clear Used Administrator's Data?", select [Yes] and then click [OK].

STEP 4:  Once enabled, go to [Menu] > [Utility] > [Administrator Settings] > [User Authentication/Account Track] > then go to [User Authentication] as this option will be available already.

STEP 5: To register a new user, select an available number and click [Edit] to add or register the username and password.

STEP 6: Enter the Username and Password for the new user. No need to enter the E-mail Address. Then select the [Function Permission/Authority] at the bottom to set the needed functions for the user. Click [OK] to save and exit. Click [Close] until the Main Menu.

STEP 7: (Optional) If you are using Public User Access, click the UP Arrow to go to page 51/51 and the Public registration will be visible. Select the [Public] box and click on [Edit] to set the username and password (if you choose ON (With Login)) or set the [Function Permission/Authority] for public use. This is where to set the Public access to Black/White only for Copy and Print if needed. Click [Close] until the Main Menu.

STEP 8: Once registered, users should be able to use the username and password to access the machine. Please refer to this LINK on how to update the username and password on the printer driver for Windows OS or this LINK for MAC OS.


Quick Notes: Only use either User Authentication Settings or Account Track Settings at a time, don't enable both options as this will not work. If the Authentication Type will be changed to another option, the usernames and passwords that were registered on the machine will automatically be removed and there's no other way to retrieve them. Thus don't just turn OFF or change the Authentication Type if it is already enabled.
